Creating and managing rewards
How to add rewards, set points costs, manage stock, activate and deactivate rewards, and track redemptions.
Every reward has a name, a points cost, and an active/inactive status. The name and points cost are required. A description, stock count, and image URL are optional.
- Name — shown on the storefront card and in the member's rewards list.
- Description — optional extra detail (e.g. 'Any regular coffee, on the house').
- Points cost — the number of points required to redeem. Must be at least 1.
- Stock — how many of this reward are available. Set to -1 for unlimited.
- Image URL — optional photo of the reward.
- Active — inactive rewards are hidden from the storefront.
Go to Dashboard → Rewards → Add Reward. Fill in the name, description (optional), points cost, and stock. Click Create.
The reward becomes active immediately and appears on your storefront. New rewards are sorted by points cost ascending on the storefront.
The points cost determines how many points a member needs to save before they can claim the reward. There is no fixed formula — use your own margins as a guide.
As a starting point, many cafés set the first reward at 50 points and offer it for a 10-point-per-visit programme. That means a member earns the reward in 5 visits — frequent enough to feel achievable, long enough to generate real loyalty.
The onboarding wizard shows you a live calculation of how many visits each points cost represents, based on your current points-per-checkin setting. Use it as a sanity check.
The stock field controls how many times this reward can be redeemed before it is marked as 'sold out' on the storefront. Set it to -1 for unlimited stock.
When a member redeems a reward with finite stock, the remaining count decreases by 1. When it reaches 0, the reward shows 'Out of stock' on the storefront and cannot be redeemed.
To replenish stock, edit the reward and update the stock number. It does not reset automatically.
Rewards have an Active toggle. Deactivating a reward hides it from the storefront immediately — existing redemptions are not affected. You can reactivate it at any time.
Deactivating is useful when you want to retire a seasonal reward or temporarily pause a particular offer without deleting the record.
Every redemption is recorded in the Activity log on your dashboard's Overview page and in the member's history in the Members section. You can see which member redeemed which reward, when, and for how many points.
